Daily Logs

Daily logs are an important asset to any fleet. Daily logs will allow for the tracking and reporting of the day-to-day interactions, efficiency, and expenses of each piece of equipment. This in turn will allow the fleet manager to compile and analyze this information for the entire fleet.

Although the logs are adaptable to your fleet's needs, all logs possess two primary items, the date of equipment use, and the equipment &/or systems of the log. Fleet Dynamics allows you to enter any number of equipment or systems within a single daily log. The rule of thumb, however, should be that a main piece of equipment should be entered into a single log. Any additional systems that were used as attachments, to that main equipment, for that day of use should also be attached to the daily log. The basic log view is below.

Daily logs are inputted with all pertinent information, including vehicles, equipment, and/or systems, date of the log, odometer or chronometer readings and true usages for each system, the fuel, oil, or parts used by the systems, and any DOT-out-of-state mileages. This information is entered in each respective tab for each log. Fleet Dynamics utilizes this data to manage equipment and systems, expenses, fuel, oil, and parts on a daily basis and produce reports for the repair shop and the accounting department.

The below screen reveals how a single daily log can contain any number of equipment and/or systems. The odometer or chronometer of each system can be entered for the day of use. This usage information is used by the preventative maintenance system, and usage and performance reports.

Fuel, oil, or any part, in general, can be applied to each system under a daily log. The fuel, oil, or parts are automatically removed from the parts inventory and expensed to the system and daily log using automatic FIFO pricing. This system allows for total fuel and oil usage and onsite fuel tank tracking through the daily logs of Fleet Dynamics.

Since daily logs are adaptable to your type of fleet and equipment, the remaining tabs, and forthwith sections, will change depending on the particular types of systems added to a particular log.

Road or Transportation Vehicles

Below is an example of the Road tab view under the Daily Logs.

DOT Out-of-State mileage is entered and tracked under the above tab. Simply type in the State of the mileage and the Begin and End Odometer readings for the day of use. Fleet Dynamics will automatically calculate the Total mileage traveled within that state. Entering the Begin and End fields is the most accurate method of tracking, however, if only the total distance for each state is known, then you can simply ignore the Begin and End fields and enter the total mileage in the Total field. This data will be used for DOT Out-of-State reports.
